To allow flexible work arrangements, receive updates more quickly, and work more efficiently, many churches are migrating their business solutions to the cloud. Many have already moved to the cloud and are experiencing the benefits of having software available wherever they are rather than being tied to a specific desktop. If you are using the desktop version of QuickBooks, we would recommend making the move to Intuit’s cloud-based solution, QuickBooks Online (QBO) one of Wisdom’s preferred accounting software solutions.
A great solution for churches seeking to buy QBO is to purchase through the vendor Tech Soup. Tech Soup is a nonprofit who does many things, but for this blog’s purpose let’s focus on how they help other nonprofits get reduced prices on technology. If you qualify, we highly recommend purchasing your QuickBooks Online software package through the TechSoup store.
To purchase QBO licenses through Tech Soup:
Once registered, it will take a few days for approval. Please follow any additional instructions they send via email to finish your registration.
Once approved, you will be allowed to purchase from their Product Catalog.
Purchase either QuickBooks Online Plus or QuickBooks Online Advanced depending on your church’s size and needs.
Log into QBO using your newly acquired QBO license.
Once your QBO license has been acquired and a QBO account has been set up, it is time to convert your information from desktop.
To begin, exit QBO after setting up your account and head to your church’s QuickBooks Desktop, or QBDT, file.
Update the QBDT file to the most recent version and then back up the file.
Print a detailed Income Statement and detailed Balance Sheet with classes, funds, and/or locations, if applicable. These reports will allow you to double check that the conversion has been successful.
Now it is time to convert your file to QBO. Inside the QBDT file click “Company” and then choose “Export Company File to QuickBooks Online.”
Instructions will pop up, follow these until complete, and then sign into your new QBO account through the QuickBooks Desktop conversion tool.
You will receive an email once the conversion is complete. Once complete, log into your new QBO account, run the same reports in QBO that were run in QBDT prior to the conversion, and compare results.
